The main organizational feature in Outlook is called an arrangement, which Microsoft describes as a predefined combination of grouped and sorted messages in a table view. By default, Outlook is configured to use the Date arrangement to view messages in the Inbox and any personal folders you create. As you get your inbox more cleaned out and organized, sorting can still be a useful tool.
In your standard Outlook inbox, you usually have three panes. You have the Folder pane on the left, the message list in the middle, and the reading pane on the right. We will cover that in the next section of this post. See Figure 2. This feature will group the replies with the original message. This helps to reduce the numbers of individual pieces of email in your inbox.
And, it keeps the related items together in one thread. You can adjust the order from most recent to oldest and vice versa. To change the field the messages are sorted by, click on the field Date, From, To, etc. Do a reverse sort, add columns, or even expand or collapse the group of messages you are on in the inbox. The groups may vary depending on how you have chosen to sort. You can decide on whatever labels you see fit, and you can assign whatever color you like to each label; just keep your colors unique for each label and stay consistent with your color-label match over time.
Examples for commonly used category labels:. The options for categories are endless. The point is to help you improve your email workflow and better organize emails in Outlook. So, play around with different labeling and colors till you arrive at what works best for you. This is where folders come in handy. Categories can help here too, but folders will really help you sort your inbox and group them into similar email collections.
When looking at your inbox, you should be able to judge which emails are high priority and which ones can wait a little longer. How you choose to order your emails into folders is entirely up to you and your preferences, but of course, we have some recommendations.
This is where you can use categories to mark an email as urgent. Aside from the standard categories listed above, you can also create folders for very specific ones. Select Sort. Select a sorting setting. You can sort by date, sender, size, importance, or subject, and you can order emails to display either oldest on top or newest on top. In Outlook, the easiest way to arrange your most-used folders is to set up your favorites list. On the left side of the Outlook window where your folders list resides, right-click a folder and select Add to Favorites.
This folder now appears in your favorites list. In your favorites list, right-click a folder and select either Move up the list or Move down the list. Use this feature to list favorite folders in your preferred order.
